How to turn new Gmail emails into researched Notion CRM leads with Zapier Agents
The problem
Potential customers are buried among ordinary email. Copying them into a CRM and researching each sender is tedious, so leads slip through.
Tools needed
- Zapier Agents
- Gmail
- Web search
- Notion
Step-by-step recipe
- Create a Zapier Agent behaviour triggered by Gmail's New Email event.
- In plain-language instructions, tell it to decide whether the email is a lead.
- If it is, have it research the sender online (company, website, LinkedIn).
- Add an item to your Notion CRM database with mapped properties and the email thread URL in the notes.
- Test on sample emails, refine the instructions, then switch it on.
Copyable prompt
For each new email: 1. Decide whether the sender is a potential customer for [BUSINESS]. Signs of a lead: [asks about pricing, services, availability]. Ignore newsletters, receipts, notifications and existing clients from [DOMAINS]. 2. If it is a lead, look up the sender's company and website. 3. Create a Notion item with Name, Company, Website, Need (one sentence), Source = "Email", Notes = thread URL plus a two-line research summary. If it is not a lead, do nothing. If research finds nothing reliable, write "unknown" rather than guessing.

What the builder reported
Once switched on it runs on every new email like a normal Zap. The author gives no accuracy or time-saved figures and notes the use case may not suit every business.
These are the source author's own claims. AgentRecipes has not tested or verified them.
Watch out for
- Each run used about 4 Zapier Agents activities, which is how usage is billed.
- A classic Zap is more predictable; an agent needs careful prompt tuning.
