How to turn booking confirmation emails into calendar events with n8n

Inbox & calendarn8n

The problem

Travel and booking confirmations pile up in the inbox (the source built this for a CEO) and someone has to copy each one into the calendar.

Tools needed

Step-by-step recipe

  1. Watch Gmail for messages labelled "Events".
  2. Wrap the email body into a PDF so it goes through the same extractor as any PDF attachments.
  3. Extract date, time, location, confirmation number, vendor and notes from both sources in parallel.
  4. Merge the results, with attachment data taking priority.
  5. Create an event in a separate "Auto-imported" calendar with a link to the email, or flag the email and send a missing-fields notice.

Copyable prompt

Prompt template
Extract calendar details from this booking confirmation. Return JSON:
{"title": "...", "start": "YYYY-MM-DDTHH:MM", "end": "..."|null, "timezone": "..."|null, "location": "..."|null, "confirmation_number": "..."|null, "vendor": "...", "notes": "...", "missing_fields": [list]}
If there are several separate bookings, return an array. Never guess a date or time that is not written in the text.

What the builder reported

Events are now created automatically in a dedicated calendar instead of being entered by hand. The author notes there's no step yet for confirmations that contain several events.

These are the source author's own claims. AgentRecipes has not tested or verified them.
